Setting Up an Action Plan to Resolve Observations

Written by Océane Saez

Introduction

Following inspections, the observations recorded in reports need a corrective or preventive action plan put in place. This guide helps you structure, track, and effectively close these action plans.

From analysing observations through to their full resolution, you’ll learn how to ensure rigorous follow-up with corrective actions, assign responsibilities, and set up maintenance tasks to resolve them.

Analyse the observations you need to schedule using filters and reports

Present fact-based overviews with proactive, efficient management of your non-conformities by generating a report on your observations. Using the filters on observations to be scheduled, build targeted views by regulation (observations from a specific report, or a particular type of inspection, for example) and track how your observations are progressing more easily.

🔗 Useful resources:

Manage your observations’ characteristics

Once your observations have been filtered, it’s essential to fill in their characteristics in order to put together a clear, concise action plan.

Assign a person responsible for an observation to track progress and measure how effective the action plan is.

Set a resolution deadline for the observation to ensure it’s resolved within a reasonable timeframe.

Add a type of action to guide the improvement strategy for closing these observations.

Specify whether the observation requires a budget to be allocated to resolve the non-conformity.

🔗 Useful resources:

Create a maintenance task to schedule the observation’s resolution

After entering the actions needed to resolve the observation in a structured way in its characteristics, it’s essential to schedule its resolution. Creating a maintenance task ensures traceability of operations. Once the task has been completed and complies with established procedures, you can validate your maintenance task to move the linked observations to “Completed”.
