Introduction
If an integration is active between Ealico and your CMMS, you can synchronise your data between the two tools. In particular, this lets you automatically create work orders in your CMMS from Ealico observations, or create elements in Ealico directly from your CMMS.
Link an element in Ealico with your CMMS
You can link an element in Ealico to your CMMS by filling in the “Integration” characteristics on the element’s record. These fields let you enter the element’s number and status based on the integration codes from your CMMS. For new elements, the integration code can be retrieved directly from your CMMS.
To link an element to your CMMS:
Filter your element
Click on “Characteristics”
Fill in the “Integration” fields
Note: the “Integration” fields are defined via the company account’s integration characteristics in “Profile and settings”.

Create an element in Ealico from the CMMS
When Ealico is connected to your CMMS and new equipment is created there, it can be automatically sent to Ealico. The element then arrives under the “Miscellaneous / To be categorised” regulation by default. It then needs to be categorised so it can be used and linked to the corresponding regulation.
To create an element from the CMMS:
Step 1 – Categorise the element
Select the relevant site(s) and the “Miscellaneous / To be categorised” regulation
Filter the element
Click on “Action” then “Categorise the element”
Choose the corresponding regulation and confirm
⚠️ The element is set to “Draft” status; it isn’t active yet.
Step 2 – Activate the element
Filter the draft element
Complete the element’s data
Set the status to “Active”
Note: how the integration behaves depends on the specifications of each integration project and your own implementation. For any questions, please contact your Ealico representative.

Create an observation in the CMMS
When an observation needs to be handled in your CMMS, you can send it directly from Ealico. A notice or work order will then automatically be created in your CMMS.
To send an observation to the CMMS:
Filter the observation
Check the “To create in the CMMS” box
Click on “Validate”
To send several observations to the CMMS:
Filter the observations
Select the observations using the 🔲 icon (or select all via the icon under “Bulk actions”)
Click on “Bulk actions” then “Send to CMMS”

Status synchronisation
Observation status
When an observation is sent to the CMMS (the “To create in the CMMS” box is checked), the observation’s status in Ealico can be updated automatically based on the progress of the work order in the CMMS:
When the work order is closed, the observation moves to “Completed” status in Ealico
If the notice is rejected in the CMMS, a descriptive message appears in Ealico, and the status then needs to be changed manually
If the observation isn’t sent to the CMMS, its status is managed manually by the user in Ealico.
Note: how the integration behaves depends on the specifications of each integration project and your own implementation. For any questions, please contact your Ealico representative.
Element status
The synchronisation of element statuses (Active, Idle, Scrapped, etc.) depends on your integration’s specific configuration. To find out whether this flow is active on your account, please contact your Ealico representative.
